ORGANIZATION OF THE FORUM

The forum organizing committee (FOC) is established drawn from MOH Technical Working Group to oversee and guide the preparation of the forum. It shall be led by a coordinating group composed of MOH AYH Case Team Coordinator Dr Eden Fesseha as a chairperson, Ephrem Berhanu, Managing Director of Talent Youth Association as a co-chair.

The FOC might can have different working groups or it can assign tasks to the group members for better and ease of coordination this includes, communication, resource mobilization and scientific formed under the committee. Each sub committee has members drawn from the organizing committee which is mandated to oversee specific activities at it relates to the sub committee working domains.

Communication Sub Committee

Purpose:
Lead and guide EYHF planning, design and implementation. Specifically, the committee is expected to:

Roles and Responsibilities:
  • Plan, support and EYHF 2020, in collaboration with the partners and key stakeholders.
  • Support the pertinent sub-committees in the planning, formulation and coordination of their activities related to EYHF 2020.
  • Identify youth leaders to participate in sessions and plenaries.
  • Encourage and support submission of high-quality workshops, sessions from local youth organizations and/or young leaders and champions in Ethiopia.
  • Advising on research priorities to highlight at the forum.
  • Responsible for resource mobilization to the success of the EYHF 2020
  • Oversee overall EYHF 2020 related communication activities and plans

The forum organizing committee (FOC)
Purpose: To advise, assist FOC to best meet its objectives and lead all aspects of the communications and promotion activities, including message development, advertising, branding, media relations, and documentation.
Roles and Responsibilities: The communication sub-team manages the branding aspects of the forum which include development of communication packages, social media packs, press release, development of websites and other promotional materials. The committee also followed up the pre-conference social media campaign and media correspondence of the forum. The committee is chaired by Dawit Girma (UNFPA) and co-chaired by Dr. Helema Bekele (YNSD) and constitutes other individuals represented from donors, partners and youth groups working on the areas of program communication, Health promotion and advocacy. The Communication Sub-Committee under the guidance of the FOC and in consultation with other relevant sub-committees, carry out the following specific tasks:
  • Develop a strategic communications plan in conjunction with FOC and other sub-committee plans;
  • Develop and manage protocols for dissemination of both internal and external forum information;
  • Provide input into the FOC plan and budgets as it relates to communications & promotion;
  • Formulate and recommend strategies for communications and media relations and promoting the forum;
  • Ensure activities and plans are coordinated with the overall promotional strategies;
  • Prepare & review the content of promotional materials;
  • Develop, review and provide input in the creation, publication and distribution of forum marketing materials;
  • Liaison with media to improve the conference rapport with the media;
  • Work with the media to broaden public awareness of the conference by developing and disseminating up-to-date media information on upcoming events;
  • Branding control and develop guidelines;
  • Together with the FOC, document all the pre, during and post conference events and produce a proceeding.

Scientific Sub-Committee Members
Purpose: Mobilize adequate resource for the forum through working with the FOC and other sub-committees.
Roles and Responsibilities: The resource mobilization and logistics sub-committee ensures the resource availability, feasibility and value for money of the forum. It engages stakeholders and mobilizes technical, financial and human resources needs for the successful completion of the forum. It also manages the online registration process of the forum. Along with availing logistic requirements of the forum including coordination center and virtual platforms, it manages the registration processes of the forum. The committee is chaired by Ephrem Berhanu (TaYA) and co chaired by Muluwork Ameya (UNESCO) and constitutes individuals that are working on resource mobilization and partnership development in their respective organizations. The resource mobilization sub committee under the guidance of the FOC and in consultation with other relevant sub-committees, will carry out the following specific tasks.
  • Develop a detailed resource mobilization work plan;
  • Develop detail budget in consultation with all other sub-committee to ensure inclusion of activities for mobilization of resources;
  • Develop a stakeholders list to be contacted for soliciting support;
  • Draft letters and other forms of communication for resource mobilization;
  • Track communications made with stakeholders, commitments made, amount secured, modality of support (in-kind or cash);
  • Ensure activities and plans are coordinated to ensure organizations supporting particular activities obtain guidance and information;
